Sending Multiple Files

How to Send Multiple Files to a Single Address?

To send multiple files to a single address, all the files must be part of the same mailing task. Here's how you can do it:

  • In the “Create Files” window, specify that emails should only be sent after all files are prepared, or
  • Create files without initiating the mailing, then go to the “Drive,” select one or more folders, and start the mailing process for the files in those folders.

Mailing After File Preparation

If all the files you need to send in one email are created from the same document, the easiest way is to specify in the “Create Files” window that emails should be sent after preparing all files. This way, all files will be generated first and then sent in a single mailing. If there are files with the same email address in the mailing, they will be sent together in one email.

Manual Mailing

In some cases, you may need to send files from different documents in one email—for example, a certificate and a letter of appreciation, or certificates of varying levels. In this case, follow these steps:

  • In the “Create Files” window, set the “Send Emails” field to “Manually” for all files that need to be sent later. You can also customize the email template in the “Template” field.
  • Once all files are created, go to the “Drive” and select all the folders that contain files you want to send. After selecting the folders, use the selection panel or context menu to choose “Send via Email.” In the confirmation window, you can either choose a new email template or proceed with the existing one.

Files with identical email addresses will be sent together in a single email. Files that have already been sent previously will not be sent again, even if they are in the selected folders.

Limitations

  • The email size cannot exceed 10 MB. If the total size exceeds this limit, files will be split and sent across multiple emails.
  • Email variables will be replaced with data from the first file in sequence. For instance, the %image variable will be replaced with the image from the first file, even if multiple files are attached to the email. The same rule applies to other variables and links to widget modifications.
